KONGENA. Digital DNA of a Conference.

The name follows a simple meaning structure: KON refers to conference or congress (konference / kongres), GEN to the core and underlying code of the whole process, and A to administration, automation and the event itself.

One digital core

KONGENA is more than a registration form. It keeps one source of truth and connects participants, professional content, the program, communication and event operations.

The graphic K is part of the name

The K symbol is not an icon placed next to the word. It is the actual first letter of the brand: the graphic K + ONGENA. Blue and turquoise express technology and trust, while the subtle magenta accent adds a distinctive signature.

KONGENA was not built as an isolated registration form. Its components share the same data, event edition and security policy, so information flows naturally from the participant through professional review to the published program, communication and operational outputs.

Responsive public form, custom fields, invoicing and payer data, duplicate checks, preview before submission and secure follow-up management through a cryptographic link.

Pricing, services and accommodation

Pricing models, capacity-limited services, catering and social events, hotel profiles, rooms and galleries. Historical registration prices are protected from silent recalculation.

Abstracts

Multiple abstracts per registration, professional areas, custom workflow states, attachments, bulk processing, exports and a controlled path from receipt through decision to the Program.

Program

Sessions, rooms, times, speakers, chairs and abstracts in one model. Conflict checks, approval, locking, a public Program and versioned publications.

Communication

SMTP, transport testing, editable templates with preview, automated messages, campaigns and reminders. Program communication can be tied to a specific published version.

Media and exports

Media Manager with versioning, Trash, controlled visibility and secure file delivery. Exports for registrations, abstracts, contacts, accommodation, services, finance and the program.

Editions and branding

Central event identity, registration windows, configuration cloning into the next edition, archiving, controlled historical import, custom colours and a professional social/Open Graph banner.

Secure operations

Secure Web Installer, roles and permissions, MFA, secure sessions, Production pre-flight, audit, Backup & Recovery Manager and a separate area for service and destructive operations.

Admin is not a separate product; it is the control centre of the entire platform. Access is governed by the combination of role, permission, event assignment and feature availability.

From an empty hosting account to secure operation.

KONGENA includes not only the conference workflow but also tools for first installation, production readiness checks, backup, recovery and long-term system administration.

Secure Web Installer

The first run checks PHP, SQLite, storage write access, HTTPS and cryptography. Hosting ownership is verified using a short-lived filesystem challenge; KONGENA then creates the configuration, Owner account, server key and installation lock.

Production pre-flight

Security Center distinguishes verified layers, application protections and recommendations. It checks HTTPS, sessions, MFA, database integrity, backups, form readiness and other operational prerequisites.

Backup & Recovery

A complete data backup, SQLite database only, or a clean application snapshot. Integrity verification, automatic retention, CRON/fallback, safe restore and a pre-backup before destructive operations.

Audit and maintenance

Important administrative and registration changes remain traceable. Service and destructive operations are separated from routine administration and require additional confirmation and recovery procedures.

Program

Program without spreadsheet improvisation.

The Program works with real relationships between abstracts, people, rooms and times. Before publication it flags conflicts, missing data or inconsistent states, and generates both the public Program and official outputs from the same snapshot.

Check before publication

Checks include room, speaker and chair conflicts, session overflow, abstract status, cancelled registrations and ready contributions not yet scheduled. An approved publication is versioned and is never changed retroactively.

Security and integrity

Security is not an add-on.

Protection of administration, historical data and user sessions is built into the system design. Critical operations do not rely on interface appearance alone; they are enforced by server-side logic.

Public form protectionCSRF token, honeypot, server-side validation and rate limiting provide core anti-spam and anti-abuse protection without depending on an external CAPTCHA.
Roles and permissionsAccess is determined by role, specific permission, event assignment and feature gate. The decision is enforced on the server, not only in the menu.
MFA / TOTPMulti-factor authentication for administrators, QR/otpauth, one-time codes and hashed recovery codes.
Sessions and sign-inSecure/HttpOnly/SameSite cookies, strict sessions, isolated runtime session storage, sign-in rate limiting, password-spraying protection and managed active sessions.
Secure linksAccount-free registration management via a cryptographic link that, after verification, transitions to a short-lived management session without keeping a long-lived secret in the URL.
Historical integrityPrice snapshots, legal consents and program publications are protected from silently rewriting history; significant changes leave an audit trail.
Audit and pre-flightSecurity Center and Production pre-flight separate critical errors from recommendations and show both the technical and application state of the installation.
Backups and recoveryComplete recovery package, integrity checks, manifest, automatic backups, pre-backup and controlled restore with invalidation of sensitive sessions.

Multi-factor authentication (MFA)

MFA adds a second independent layer of administrator verification. After entering a password, a one-time code from an authenticator app is required.

What happens after activation: the account cannot be accessed with the password alone.

Recommendation: The primary administrator should have MFA enabled before production registration opens.

Quick explanations are available directly next to settings. More complex functions have a detailed side panel, process guides and explanations of why an action is locked in a particular state.
