Program
Sessions, rooms, times, speakers, chairs and abstracts in one model. Conflict checks, approval, locking, a public Program and versioned publications.
Communication
SMTP, transport testing, editable templates with preview, automated messages, campaigns and reminders. Program communication can be tied to a specific published version.
Media and exports
Media Manager with versioning, Trash, controlled visibility and secure file delivery. Exports for registrations, abstracts, contacts, accommodation, services, finance and the program.

Admin is not a separate product; it is the control centre of the entire platform. Access is governed by the combination of role, permission, event assignment and feature availability.

From an empty hosting account to secure operation.
KONGENA includes not only the conference workflow but also tools for first installation, production readiness checks, backup, recovery and long-term system administration.
Secure Web Installer
The first run checks PHP, SQLite, storage write access, HTTPS and cryptography. Hosting ownership is verified using a short-lived filesystem challenge; KONGENA then creates the configuration, Owner account, server key and installation lock.
Production pre-flight
Security Center distinguishes verified layers, application protections and recommendations. It checks HTTPS, sessions, MFA, database integrity, backups, form readiness and other operational prerequisites.
Backup & Recovery
A complete data backup, SQLite database only, or a clean application snapshot. Integrity verification, automatic retention, CRON/fallback, safe restore and a pre-backup before destructive operations.
Audit and maintenance
Important administrative and registration changes remain traceable. Service and destructive operations are separated from routine administration and require additional confirmation and recovery procedures.
Program without spreadsheet improvisation.
The Program works with real relationships between abstracts, people, rooms and times. Before publication it flags conflicts, missing data or inconsistent states, and generates both the public Program and official outputs from the same snapshot.
Check before publication
Checks include room, speaker and chair conflicts, session overflow, abstract status, cancelled registrations and ready contributions not yet scheduled. An approved publication is versioned and is never changed retroactively.
Principle: changing the working program never automatically overwrites an already published version.
Security is not an add-on.
Protection of administration, historical data and user sessions is built into the system design. Critical operations do not rely on interface appearance alone; they are enforced by server-side logic.

Contextual help is built into the administration environment. For important functions it explains meaning, impact, recommended use and potential risks, so the system does not depend on one person’s memory.
Multi-factor authentication (MFA)
MFA adds a second independent layer of administrator verification. After entering a password, a one-time code from an authenticator app is required.
What happens after activation: the account cannot be accessed with the password alone.
Contextual help
Quick explanations are available directly next to settings. More complex functions have a detailed side panel, process guides and explanations of why an action is locked in a particular state.

KONGENA is the technology foundation. Each conference keeps its own name, edition, colours, content, registration form and social visuals. The platform brand does not need to overshadow the professional event.
